The 80/20 rule is the Pareto rule, where 80% of the results actually come from only 20% of the effort you put in.
So if you’re not looking for perfection but good enough will do, then this method is a lifesaver!
I like to use the 80/20 rule, especially at home. So cleaning, decluttering, and even when putting makeup on.
The other methods that are good to implement immediately are
- The 2-minute rule: if a task takes less than 2 minutes to complete, do it immediately
- Reducing multitasking and distractions. Concentrate on one thing at a time.
- Time blocking. Divide your day into blocks of time. Each block can be 25-30 minutes or 45-60 minutes. During that time, you are “allowed” to only perform the specific to-do that you have allocated on that block. The Pomodoro Technique is a great method to do time blocking.

- Develop a list of priorities and stick to them when making decisions. For example, prioritize what needs to be done at work before deciding where to go for lunch with friends or which chores need to be completed first in order to have more time

One way of prioritizing your tasks is by asking yourself if this task will be productive or not; if it feels necessary for whatever reason, then that would mean it needs to get done. And if it feels unproductive, then it can wait for a later date.
Sometimes it’s also recommended to prioritize tasks by their level of emotional or physical intensity.
This helps you decide which projects and duties are essential and not so urgent, but those requiring a lot of brainpower or energy from your body.
It’s helpful to prioritize based on emotion and energy because it might be tempting to leave those tasks that are more difficult for you to accomplish on your list.

Where should you start if you’d like to prioritize tasks?
The way to start prioritizing your to-dos is to:
- Figure out what needs to be done now and rank it as a high, medium, or low priority. If this is something that will only take you 15 minutes to complete but could make the next hour way easier, then it should be ranked higher on your list of priorities
- Start with your top priority task. If it’s a long term goal, break it into smaller tasks that you can start working on today
- Work from your list of priorities until all items are crossed out or completed
Tip: I like to do the most difficult thing in the morning when I have the most energy. For you, your most efficient time might be different.

So some of the ways you can manage your time better are:
- Set goals for yourself and set aside time each day or week to work on these items.

- Rank them by importance: high, medium, or low
- Delete unnecessary tasks from your master to-do list frequently. You’ll be surprised how many tasks don’t need to be done.
- If something would take less than 2 minutes to finish, do it immediately. Writing it down and thinking about it would already take more of your time than actually finishing the task itself.
- Start with your top priority task.
- Avoid multitasking and try to minimize distractions
- Take mini-breaks. This is super important!

- The first step is to identify the limits of your time and understand what you have to do. Break down tasks into manageable chunks, prioritize them, plan for contingencies, and get started on a task or project. Chunking down work will help us feel more in control of our lives.
- The second step is to learn how to say “no” when a request for your time does not align with your priorities.
- The third step is to make sure that you have carved out enough time in advance of each day’s commitments, so you can focus on what needs to be done and prioritize breaks as needed.
- The fourth step would be to develop ways to get more done in less time.
- The last step is to make sure that we are practicing self-compassion.
When stress and overwhelm come up, it’s easy for you to feel bad about yourself or beat yourself up. This not only causes more pressure but also makes engaging in helpful behaviors less likely.
